Financial Operations & Expense Accountant
We are seeking a highly detail-oriented and versatile Financial Operations & Expense Accountant to manage and optimize company-wide financial functions related to expense auditing, procurement, self-funding benefits, and budgeting. This role serves as a cross-functional link between Corporate Accounting, HR, Procurement, and Administration, ensuring policy compliance, financial accuracy, cost control, and process efficiency. The ideal candidate will bring expertise in auditing, procurement, financial reporting, and benefits accounting, with a drive to support continuous improvement in financial operations.
Summary of Job Functions:
Expense Auditing & Financial Reporting
- Review and audit employee expense reports and corporate credit card transactions for compliance and accuracy
- Ensure appropriate approvals, documentation, and GL coding for all expense-related activities
- Enter and reconcile expenses and credit card transactions in the accounting system
- Support month-end closing with reconciliations and reports for expense-related accounts
Budget Oversight & Procurement Management
- Partner with Recruiting and Admin teams to track and manage budgets for career fairs, intern programs, events, and merchandise
- Monitor expenses, perform cost-benefit analysis, and generate reports for leadership
- Manage procurement and inventory of office merchandise, furniture, and supplies
- Negotiate vendor contracts and pricing, ensuring alignment with financial controls and company policies
Benefits Self-Funding & Claims Accounting
- Reconcile self-funded employee benefits program transactions, including claims, contributions, and reserves
- Prepare and analyze financial reports for benefits costs and forecasts
- Collaborate with HR and benefits providers to assess plan performance and identify cost optimization opportunities
- Ensure compliance with regulatory guidelines and support internal/external audits
Process Improvement, Documentation & Compliance
- Identify opportunities to streamline financial workflows across expense management, procurement, and benefits accounting
- Develop and maintain comprehensive documentation of financial procedures
- Educate internal stakeholders on policies, procedures, and compliance requirements related to spending and benefits
- Act as a liaison between Corporate Accounting, HR, and external vendors to ensure operational alignment
Minimum Requirements:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
- 3+ years of progressive experience in one or more of the following: expense auditing, procurement, benefits accounting, or financial analysis
- Proficiency in Microsoft Excel and financial systems such as Concur, Sage Intacct, QuickBooks, or similar platforms
- Strong analytical and problem-solving skills with a high attention to detail
- Excellent communication and interpersonal skills for cross-departmental collaboration
- Ability to work independently, multitask, and meet deadlines in a dynamic environment
- Ability to work onsite in our Jupiter, FL office
Preferred Skills and Previous Experience:
- Proficiency in SQL and Excel automation for financial data analysis
- Background in vendor negotiations, procurement management, and inventory tracking
- Experience with self-funded benefits programs, healthcare claims, or insurance finance
- Familiarity with HRIS systems, benefits administration tools, or inventory management systems
- Knowledge of GAAP and audit procedures
